Here at Magical Productions we are getting ready for our 3rd Holiday Expo. We have close to 40 Vendors. This is going to be a GREAT Expo. With 40 vendors there is something for everyone on your list, fashion show by Eva at noon ( Saunders Costumes ) Special appearance by "Elvis " and of course Mr. & Mrs. Claus. Bring your camera and for a small donation get your picture taken with Santa ( proceeds go to Christmas Unlimited ) Also bring an unwrapped toy for Christmas Unlimited ENJOY & SHOP
Our special this month is 20% off photo restorations, they make Great Christmas Gifts.
We are also getting ready for our 4th New Years Eve Gala which will also be held at The DoubleTree. The Fabulous Nostalgics will be performing . WE will also be having door prizes, hula hoop contest and limbo contest

Traditional colors for Christmas are red and green, red & white, white & silver, silver & blue, gold & red. Once I know what color scheme I can incorporate napkins, table coverings, tree ornaments, etc.
Also for decorations does the client want to have old fashioned Christmas or more towards North Pole
Music
If you have an old fashioned Christmas theme then songs like Bing Crosby, Perry Como, etc. If your having a North Pole theme then more kids songs like Frosty The Snowman, Here Comes Santa. If it is a family event have a variety of music.
Activities
For a traditional Christmas Party you might want to sing carols, exchange gifts. If having party at house maybe pop popcorn, have hot chocolate, eggnog, sleigh ride, If kids party might want to play board games, build gingerbread houses, make ornaments, watch Frosty, Rudolph, etc.

Its that time of year to think about those Holiday celebrations. Are you planning a Holiday party or know someone who is? Let Magical Productions be your party planner. We will handle all the details for you so you can enjoy your party an be stress free.
At the initial consultation I would ask you the following?
1.What is the general overall approach uou would like? Is it a religious celebration or non-denominational gathering. A winter theme or something unique?
2.How many guests? Will the guest list be family, friends, coworkers, or a combination?
3.What type of theme, traditional like a tree, Santa, turkey dinner or prefer something different?
4.Will adults and children celebrate together, or will special activities for children and meals be needed?
5.Do you want something formal of relaxed?
6.Are there special traditions and activities?
7.Are you thinking a sit down dinner, buffet or have the party catered? Will this be lunch, dinner, or just desserts?

Magical Productions will be having its 3rd Holiday Expo on Nov. 21 at The DoubleTree located at 1775 E. Cheyenne Mt. Blvd in Colorado Springs from 10-5 This is open free to the public.
We are looking for vendors/ The costs is $60 for a 6 foot table and 2 chairs plus ( $25 refundable deposit as long as you stay till 5:00pm )
We would like to make this a huge success so the more vendors we have the more the word gets out and the more people will attend. I advertise on facebook, linkedin, twitter, online community calendars, flyers and networking groups. I will also spotlight vendors every day from Oct.1 through Nov.20
We will also be having a Fashion Show with costumes made by Eva Juzwiak owner of Saunders Costumes. We will also have a guest appearance by Elvis impersonator ( Jeff Stintson )

1st Birthday parties celebrate a landmark event in the families life. These parties are more designed for the family. An hour is about the most a baby can handle without becoming cranky.
Here are some questions I would ask as the event planner
1.What is the budget for event
2.How large will the party be
3 Guest list include both adults and children/ How many of each?
4 Do you want the party to continue after your child goes down for a nap
5. Do you want to serve a meal? Or just cake and ice cream and beverages? If you serve a meal is it pot luck, buffet, or sit down?
6. Will this be a theme party?If yes what theme in mind?
Remember children under 3 are very mobile so there should be 1 adult for every child under 3.
Make sure to baby proof your house
Invitations: Are generally grandparents, aunts, uncles, cousins and close friends. Invitations shouldbe sent out3-6 weeks in advance. Select a style that is complimentary your theme.
Decorations: Unbreakable foil balloons are a safe alternative to rubber balloons. Paper table decorations, streamers, bubbles. Remember little ones like to put everything in there mouth .
Activities: Play sing along music, puppets special blow out the candle. One year olds attention span is about5 minutes
Birthday cake : Should go along with the theme ofthe party
Food and beverage: Simple sandwiches cut into animal shapes, fruit and veggie platters.
Juice
Party Favors: Animal crackers are always good, or stuffed toys for age appropriate
The best 1st Birthday party is to keep things relatively simple.

Scavenger Hunt Parties
Have you ever thought about having a scavenger hunt party? This would be a totally different kind of party.
1. Decide on age group
2. How many people
3. Are you going to have teams
You can do a simple scavenger hint within someones house or at a venue. For a more complex hunt it could be in a town.
You would need to know the geography of the location
Planning process would be to write down clues and placing them in appropriate locations
The morning of set clues in place and have maps and directions for the players
Let players know ahead of time what they will need for the hunt
If this a long scavenger hunt have volunteers along the way to provide water and food.
Make sure everyone has a cell phone with them just in case of an emergency
Make sure that at least 2 people stay together at all times
Have prizes for the first team to find all the clues
If it requires cars make sure that the driver is just concentrating on the road while everyone else is looking for clues
Remember to stay safe and have fun

Murder mystery is one of the most popular adult activity parties. Usually includes dinner
Guest usually arrive at mock crime scene and are provided clues to figure out who committed the crime. Usually have tables as teams an award the table or team with a prize on who solves the mystery. These can be really interesting on how teams come up with the proof.

I hope everyone had a GREAT weekend.
Since The Holidays are fast approaching I thought we will talk about Holiday parties.
How about we talk about Halloween parties.Halloween parties are not just for children they are also for the ( big kids in us ). Indoor parties are becoming popular for children's safety.
Children's parties are usually held at schools, community centers or houses.
Adult parties are usually held at dance clubs, or event centers, hotels.
Children's parties will be less frightening games, candy, costumes.
Adult parties would be more frightening, food,music, costumes and Halloween games.
As an event planner I would ask the following:
1. Is this a childrens party, adult party or family event?
2. Is there a special theme in mind, do you want to have classic Halloween movies, or haunted house
3. How many people
4. Will guests wear costumes or formal atmosphere?
5. What kind of decorations?
6. Will you serve a meal or snacks?
7. Do you want to plan games or scary surprises ?
8. What is the budget?
Invitations If there is a certain theme then invitations should be the same ( skeletons )
Refreshments Halloween themed ( foods to resemble brains, blood, eye balls etc. )
Apple cider, punch, of course candy.
Activities. Watching horror movies,haunted house, dancing and of course costume contest to name a few

The Budget
The Cost Factors
Today we are going to be talking about cost factors.
1. Number of guests
One of the most important factors for cost is how many guests you plan on having
. The number of guests will determine how big a space you need, how much food you need. The larger the space the more money it will cost, the more guest the more food which will increase the cost.
2. Catering
If you want a fully catered meal this will be another major cost factor. You might want to check on different types of menus, also some events you might be able to do your own catering which will definitely cut down the costs
3.Alcoholic Beverages
This could add up real fast if you are doing an open bar. There are a few ways to cut down the cost you might want to set a certain budget anything over that budget guests have to start paying,, or you can give tickets for 2 drinks free, or have a cah bar and let guests pay for there drinks. Also dont forget you dont want anyone geting into an accident or get a ticket leaving your special event, if possible if event is at hotel offer them some rooms or have designated drivers.
4. Event Decorations
Flowers,centerpieces, streamers and banners can be costly. The more you have will also mean more time to set up and take down. You could hire a decorator but they are costly. You could decorate yourself which will cut down costs. As an event planner I would shop around for you to find the best deals and sometimes you can create the atmosphere you want with less expensive items.
5. Entertainment
Do you want a band or dj.? Its always nice to have live music but dj's do just as well and have more of a variety of songs. The cost will be a big factor also live bands will cost more then djs. Once again as an event planner I would shop around for you and find the type of music you want at an affordable price.
5. Flowers
Flowers are expensive. Depending on what kind of flowers you awant, the season and how many will determine the cost factor. If you can try to stay with the flowers that are in season, or maybe try silk flowers, they look just as pretty and will last much longer.
6. Cake
The cost factor again will be on the amount of guests you are having most cake decorators charge by the slice. also what kind of filling and icing and how much detail you want will all determine the price
7 Photography
I left this
one for last because it is a touchy subject with me, since my husband is a photographer. I have been to many different event where the clients will spend a fortune for the venue and catering but then have a family friend or relative take the pictures. The photographer is the most important part of any event. Once the event is done the food is gone, the dancing done, flowers will die the only thing you have left are the pictures of the whole event. If you want to keep your friend a friend and speak to your relative ( Please hire a professional photographer )
Once again to help you have the best event possible hire an event planner. Event planners can sometimes get you a better price and also recommend people that they know and trust, also save you the stress for having to do all the research. I always make sure that all the vendors I use have insurance and I make sure my client and the vendor are compatible. Also I will be there on the day of the event to make sure everything stays on time

Setting The Budget
For the next few days we will be talking about setting the budget for your event. Its a subject that not many people like to talk about but needs to be done at the beginning stages of planning your event.
If you are on a fixed budget there are some thing that could be done to still have a most enjoyable event without having to take out loans or go totally broke.
You might want a very fancy venue but cant afford that so you might want to look at other venues. Sometimes if you can change the season like fall or winter instead of spring or summer you can get better rates or during the weekdays are more affordable then weekends, days are more affordable than nights.
There is also what kind of food do you want to have, how many people you are having, decorations, flowers, entertainment, photography. We will go into more detail in later posts.
Who is paying for the event and what do they expect?
Events fall into 2 categories, private and corporate.. The client and payer may be different people.When there is more then 1 person I have to know who I need to report to. If it is a corporate event I would like to get together with all who handle the funds and let them agree on who would make the final decision

Today's topic is the planning time frame. This is a general time frame we will be talking about.
The time frame is consider to begin once the client signs the contract, and ends once the client has a successful event.
Questions I would ask my client
1. What kind of event,birthday party, class reunion, wedding? Weddings and class reunions usually take a good year to get everything and everyone together. Birthday can be plan on much shorter notice unless if you are having out of town guests.
2. When will event be held?
This will also determine the cost. weekends and summer months are more expensive to have events in hotels, days and winter events can be a little bit more affordable.
3. Where will event be held?
If client has no idea I might offer some suggestions
4 How many people are expected to attend?
This will also determine the venue and the budget.
5. Is this a catered event?
I would ask if anyone has any food allergies, if religious event what special requirements.
6.Who is attending what do they have in common?
Is it a childs birthday party or senior citizens, that will help determine the venue and the type of food and entertainment.
7. Will there be guest speakers?
If there is presenters who is in charge of scheduling them.
8. Is this a private event or will tickets be sold?
If public event I would make sure the word gets out with the media
9. Is this an overnight event?
I would need to find out about hotel reservations and how many rooms are needed., also transportation issues
10 What is the event budget?
That will determine the venue food costs and possibly how many people will be able to attend.
Remember this is just general questions for all types of events.

Today's topic is corporate events. There are 2 kinds of corporate events internal and external
Internal corporate events are geared towards the employees, managers and board of directors. The main purpose is to inform staff, improve skills or build collegiality among coworkers.
1. Meetings
Involve frequent and routine gatherings for a specific purpose. A formal meeting requires an agenda to focus on issues at hand.A secretary records minutes of meeting and gives copies to all that attend.
2. Board Meetings
The board is responsible for overseeing the operations of the business and for representing the interest of the shareholders.
3. Annual Shareholders Meeting
Law dicates that this meeting beheld once a year. Voting takes place to elect or reelect The Board Of Directors.
4. Workshops
Furthering the skills of a profession. These are usually 2 to 3 days, with keynote speakers,lectures, demonstrations, entertainment, trade shows, breaks, meals
5. Retreats and team building
Are usually held out of town to maximize team building and to minmize distractions. Participants engage in problem solving, brainstorming and team challenges in addition to meetings, socializing and recreation.
6. Parties and social events
These include holiday parties, fiscal year end celebration. The purpose is to give employees and management to interact in informal and fun atmosphere.
7. Incentive travel
Top performing employees free trips
8. Staff Training
Seminars to further the skills needed for specific areas of their jobs
9. Retirement and awards
Gathering to honor a retiring employee or an employee who is receiving an award.
In any of these events it is the event planners job to create the atmosphere the corporation is wanting Whether it is just the room for the meeting, or food for snacks or a full meal, maybe entertainment of rooms for out of town speakers or employees.

First Communion: Roman Catholic cermony to mark the acceptance of the sacrament of the Eucharist
Confirmation: Christian religions this is a rite administered to a baptize person, usually a adolescent who is making a mature statement of faith.
Funerals: Is for grieving families to have a tribute for their love one. Funerals and m,memorial services require preparation on short notice and in an emotional atmosphere.

Today I will make this blog short and sweet
There is basically 2 levels of service for event planners
1. Consultation , and planning the event from start to finish, complete service
2. Consultation, with only day of service to make sure everything goes accordingly.
I myself rather be there for my clients from the beginning, that way they get to know me better and I get to know them better so I become more of a friend to them, where they feel they can come to ask me anything and confide in me.

Are there special activities? Special needs?
Envision event from start to finish. Write down plans
3. Scope the event
Makes a list of special activities, equipment needed,guest &
participants, food menus, hired services, names & contact info.
4. Develop time lines
What needs to happen and when, keeps a record.
5. Recruits staff and vendors
Who is doing what, develops a rapport with client and vendors
6, Arranges & coordinates guest invitations
( some events this requires to advertise who target audience is )
7. Book travel & accommodations for out of town guest
Will out of town guest need transportation?
8. Negotiates with vendors for deals. ( This is where you could possible save money )
9. Oversee and manages all aspects of the event.
Is everyone on the same page and on track?
