How to choose a caterer
First set a budget Catering usually cost from 40- 60 % of your total budget
Most caterers charge per guest
Many reception locations such as hotels have on site caterers.
Need to decide on the amount of food and type of food you plan to serve.
depending on the time of day and cultural backgrounds plays a hand on the menu

Buffets - guest serve themselves
Plated meals- sit down meal served to them
Family service- plates are already on table servers bring food to table and guest dish the food onto there plate

Questions to ask caterer
Do you have a license
Does caterer specialize in a particular style of service
How is the price per plate determined
Does the caterer have menus in different price ranges
Other then food and food preparation what else is included : plates, napkins,glassware, serving utensils, condiments, table lines,
Can the caterer provide a portable kitchen
Does the caterer book multiple events on the same day
Who can you call if something went wrong
Does the caterer set the tables. Place centerpieces, place cards etc.
When will caterer arrive and leave
What are caterer's policy on extra meals and vendor meals
Is caterer willing to provide special meals
Where does the caterer buy there food
When signing a contract with a caterer give them the name and address of venue, number of guest, cost per person Total cost, deposit listed if paid. Don't forget to factor in service staff and gratuities usually between 10- 15 %. Most caterers charge 50% when signing the contract and remaining balance on day of event. Also get a detailed explanation of cancellation and refund policy

How to find the right venue
There are many factors in finding the right venue
Is the event being held indoors or out?
How many people are coming to the event?
Will the style, mood and atmosphere of the venue suit the event?
There are many different types of venues hotels, inns, community centers, private residence, parks, bowling alley, museums, art galleries, restaurants, ski lodges.
Also consider if the venue is all-inclusive location. All inclusive covers a multitude of services, Catering, accommodations, set up, take down, audio visual, parking, etc.
Once you narrowed down some potential locations, you should visit the locations and talk to people who have been there.
Determine the cost. Does the room or space have a flat fee? An hourly rate? Is the cost of the room include the catering? Is there a minimum number of guest? Is the deposit non refundable? Cancellation policy? Charges for cleanup or overtime?
Is there restrictions on music?
Does the facility have permits to serve liquor or do you have to provide permit?
if you are supplying your own catering do you have all the kitchen facilities you need? Dishes, silverware, glassware, pot & pans, coffee pots etc.
If you need electric make sure you have enouh outlets. Also for outdoor events you need to find out if there is adequate lighting after dark. Is there a sprinkler system that comes on at a certain time?
Adequate restrooms including those fore the disabled. Do you need to provide security? Do you have liability insurance?
If event is to be held outdoors you should have a tent in case of bad weather. If no tent do you have an alternate location in case of bad weather.
Events in private homes you should tell your neighbors some cities require a one time permit.
Some facilities do not allow tape, staples or tacks on wall check for restrictions.
So keep in mind there is a lot to consider when looking for the perfect venue for your event, that is why you hire an event planner to ask all the questions and take care of the stress so you can attend to your guest
